Software changes
System outage today, 9.00 pm to 9.15 pm – Northern/Southern host only
interRAI software system for the Northern/Southern Host will be offline for 15 minutes tonight for system maintenance. This outage only applies to the Northern/Southern DHB host site covering these areas:
- Auckland
- Counties Manukau
- Waitemata
- Northland
- Canterbury
- Nelson – Marlborough
- South Canterbury
- West Coast
- Southern
All interRAI users on the Northern/Southern Host will not be able to access the system during this 15-minute outage. If you usually login to the Taranaki DHB host site you will not be affected.
If you have checked out assessments, ensure you check them all back in before 9.00 pm this evening. Thank you.
Managing incomplete assessments
Now is a good time to manage your draft, incomplete or unwanted client assessments.
Identify all your draft assesments. Mark them complete, OR discontinue them. Any discontinued assessment can still be viewed on the system however it is not included in reporting or data collection. Each client assessment is a Minimum Data Set (MDS).
During February 2020 all draft MDS assessments older than three months (90 days over the Assessment Reference Date or ARD) will be discontinued. In January we will proivide your District Health Board or Long Term Care Facility (LTCF) with a report of all your incomplete assessments.
We have had a significant increase in the creation of duplicate records. This is partly due to the default record status changing to 'Active' and as software error.
What to do:
- If you cannot find a client/resident record, change the Record Status to ALL. (Record status for transferring files must be 'Inactive').
- If the client/resident record is still not present in the 'organisation', contact the NASC to transfer the record.
- If the NASC are unavailable, email interRAI@tas.health.nz for assistance.
On rare occasions that a resident is admitted without a prior interRAl assessment and a new record needs to be created, contact interRAI@tas.health.nz

Summary
As an interRAI assessor you should identify all your draft assessments. EITHER mark them complete or discontinue them. It is an assessor’s responsibility to ensure assessments are completed in a timely manner or discontinued if the assessment is unwanted.
Any assessor can discontinue any draft MDS/Assessment, for example, when a colleague leaves your service and is no longer able to discontinue their own drafts.
Any assessment that is discontinued can still be viewed on the system, however, is not included in any form of reporting or data collection. This improves data quality.
How to identify draft assessments
You can run the Incomplete Assessments Report for your organisation from the Common Tasks menu. Draft assessments can then be displayed and identified.
We aim to:
- reduce the incidence of records containing draft assessments
- reinforce best practice of assessors completing assessments in a timely manner
- maintain high data quality
- align with national guidelines
- reduce migration and transfer errors.

This outage only applied to the Canterbury DHB host site covering these areas: Auckland, Counties Manukau, Waitemata, Northland, Canterbury, Nelson – Marlborough, South Canterbury, West Coast, Southern.
If you usually log in to the Taranaki DHB host site, you were not be affected.
If you had checked out assessments, you needed to ensure you checked them all back in beforehand.

New look and feel for interRAI software system
In August 2019 we activated a new user interface for the interRAI software system.
The functionality stayed the same, but some tabs and buttons may have moved locations.
This was a welcome change, though we appreciate that it might require some adjustment. Contact interRAI Services with any issues or questions.
